Budgeting & Financial Reporting
We build event budgets from first principles and manage spend through to final reconciliation. Every event we have managed since 1996 has been delivered on or under budget.

What is included
A clear financial picture lets you make decisions with confidence before, during and after the event. Our budgeting and financial reporting service covers the following.
Multi-scenario budget modeling
We model the event budget under several scenarios, so scenarios can be compared.
Real-time spend tracking and variance reporting
Spend is tracked in real time, and variance reports show where actual figures differ from the budget.
Vendor contract negotiation and approvals
We negotiate vendor contracts and manage the approvals that go with them.
Sponsorship and registration revenue forecasting
We forecast revenue from sponsorships and registrations.
Final financial reconciliation and audit support
At the end of the event we reconcile the final financials and support your audit.
How it works
Financial reporting is one of the functions Crystal handles, alongside registration and exhibitor management, so financial reporting sits in the same integrated system as the rest of the event.
Our budgeting work covers the whole cycle, from budget modeling at the start to tracking spend and final reconciliation. For events with hotel blocks, post-event commission reconciliation is part of our housing and travel service.
Who it is for
This service is for associations, scientific societies and corporate conferences that need budgets built and managed by the same team that delivers the event, with reporting they can use for their own approvals and audits.
